ACH WMS Privacy Policy

Scope
This policy describes how Air Cargo Handling LLC (“ACH,” “we,” or “us”) handles information through ACH WMS. It covers authorized employees, contractors, customers, carriers, and other business users.
It does not describe every activity on ACH’s public website or the independent practices of third-party services.
Information processed
Depending on the features used, ACH WMS processes:
Account information: names, business email addresses, identity-provider identifiers, roles, organization associations, and station assignments.
Operational information: customer and carrier contacts, shipment and flight details, warehouse activity, dispatch information, and delivery records.
Documents: uploaded or scanned documents, photographs, signatures where supplied, and text extracted from documents.
Billing information: service codes, rates, invoices, payment records, and accounting references.
Technical information: application activity, audit events, timestamps, IP addresses where recorded, and diagnostic information used to operate and secure the system.
Information may come from users, authorized business representatives, configured scan-mailbox workflows, and connected services.
Purposes
We use this information to authenticate users, enforce permissions, perform warehouse and cargo services, manage documents, coordinate deliveries, communicate with users and business contacts, support billing and accounting, investigate errors, maintain security, and meet applicable legal and recordkeeping obligations.
Connected services
Microsoft: ACH uses Microsoft Azure and Microsoft Entra services for hosting, storage, identity, and related infrastructure. When configured, Microsoft 365 supports operational email and scan-mailbox intake. Azure Document Intelligence processes submitted documents to extract text or structured information.
QuickBooks Online: When an authorized company administrator connects QuickBooks and the integration is enabled, ACH WMS may exchange customer, service-item, invoice, payment, and related accounting information for the configured accounting workflows.
Features that are not enabled do not perform their associated integration workflows merely because they are described here.
Information sharing
Information may be made available to authorized ACH personnel and business representatives according to their permissions and operational responsibilities.
Documents and operational communications may also be sent to intended customers, carriers, airlines, or other business recipients as part of an authorized workflow.
We use service providers to operate ACH WMS. Information may also be disclosed when required by law or when reasonably necessary to investigate misuse, protect security, or establish or defend legal rights.
Storage and security
The current ACH WMS production application, database, and document storage are hosted in Microsoft Azure in the United States. Connected providers may process information in other locations under their applicable service arrangements.
ACH uses access controls and other technical and organizational safeguards. No system or transmission method can be guaranteed completely secure.
Retention and deletion
Retention depends on the information, operational needs, contractual obligations, applicable law, and any investigation or legal hold.
Archiving or deleting an item from a user-facing screen may not immediately remove associated audit records, accounting records, recoverable versions, or backups. Disconnecting an integration does not automatically erase information already stored in either system.
Requests and choices
Contact contact@achdelivers.com to request information about your data or to ask about access, correction, deletion, or other applicable privacy rights.
We may need to verify your identity and authority. Requests may be subject to legal, contractual, security, and recordkeeping requirements. Where ACH processes information for another organization, we may direct the request to that organization or coordinate with it.
Authentication and browser storage
ACH WMS uses authentication mechanisms and browser storage needed for sign-in, sessions, and application operation. Providers and any public website hosting these policy pages may have separate cookie and privacy notices.
Changes and contact
We may update this policy as services or practices change. The revised policy will show its effective date, with additional notice where required.
